JOB DESCRIPTION
JOB TITLE: Office Administrator
DEPARTMENT: Office
REPORTS TO: Office Manager or General Manager
EFFECTIVE DATE: 5/25/2023
SUMMARY: responsible for fulfilling the administrative function of the Furniture Mart operation.
DUTIES AND RESPONSIBILITIES:
1. Answers phones.
2. Provides callers with information or route calls appropriately.
3. Enters sales orders.
4. Places purchase orders with vendors.
5. Checks order status.
6. Provides customer follow up to schedule delivery in a timely manner.
7. Collects payment, posts acknowledgements, matches invoices with freight bills.
8. Posts invoices.
9. Completes check run.
10. Researches vendor statements.
11. Posts customer payments.
12. Manages daily cash balancing journal.
13. Closes out credit card machines and gives report to accounting.
14. Finalizes delivery tickets and transfers.
15. Manages customer financing.
16. Opens and distributes mail.
17. Performs other related duties as assigned by management.
SUPERVISORY RESPONSIBILITIES: This job has no supervisory responsibilities.
QUALIFICATIONS:
1. Associate's Degree (AA) or equivalent from a two-year college or technical school, or six months to one year related experience and/or training, or equivalent combination of education and experience.
2. Computer skills required: Spreadsheet Software (Excel); Word Processing Software (Word); Electronic Mail Software (Outlook); Data Entry; and Web Browser.
3. Other skills required:
a. Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
